Show the contractor the school-day routes and the activities that must continue. Discuss the construction area, deliveries and timing alongside the proposed finished building.
Record the campus calendar
List term dates, major events and periods when particular areas are heavily used. Identify any dates that are targets rather than confirmed commitments. Ask the contractor to discuss schedule assumptions openly instead of treating an early aspiration as a promised completion date.
Include staff preparation, maintenance and community use outside normal teaching hours. A quiet classroom calendar does not necessarily mean the campus is unused.
Map the existing routines
Mark student arrival, staff access, deliveries, waste collection and maintenance routes. Identify spaces that the school expects to keep available. Provide photographs and available plans of the proposed building area and its relationship to occupied facilities.
Ask the qualified project team to develop the appropriate separation and access arrangements. The owner's early sketch should communicate operations, not attempt to replace a construction safety or logistics plan.
Define handover expectations
Describe what must be complete before the school intends to use the new space. Include furnishings, equipment, staff orientation and any connections to existing buildings. Assign responsibility for owner-supplied items so they can be considered in the overall sequence.
If the project is phased, explain what each stage must accomplish independently. Ask how temporary arrangements, unfinished areas and later work will be documented in the scope.
